Many fashion show producers got their start, once upon a time, as volunteers. Whether you're a seasoned fashion lover or just starting out, volunteering is a fantastic way to immerse yourself in this dynamic world. You don't need to be a student in New York City (although that certainly helps) to assist -- anyone with a passion for fashion and a willingness to do anything needed behind the scenes can find a way in. This guide offers step-by-step strategies for securing a volunteer position, drawing from personal experiences and effective techniques.


Understanding the Landscape


NYFW is a city-wide showcase that brings together designers from across the world, each presenting their latest creations. NYFW used to be one central hub in Bryant Park, where designers showed one by one over 6-10 days. Nowadays, there is no one central New York Fashion Week - designers have moved their shows to their preferred venues, and countless production companies have popped up to produce their spinoff of "NYFW". While many (myself included) miss the days of one central fashion mecca in the big tents, one of the advantages of the decentralized version of NYFW is that there are countless ways to get involved - whether as a stylist, designer, producer, or volunteer. By volunteering, you gain hands-on experience and the chance to network with industry professionals.


Utilize Your Network


The first step in your journey should be leveraging your existing connections. If you've previously modeled, reach out to production teams from shows you participated in. These teams often appreciate your initiative and may need extra hands for upcoming events.


For example, you might contact the production crew behind a show where you previously modeled, offering your help with tasks like guest registration or behind-the-scenes support. Your previous experience gives you an edge, as you already understand some aspects of the production process.


Research Production Companies


Getting in touch with production companies is another effective way to find volunteer opportunities. Start by creating a list of production companies that put on their own version of Fashion Week. Some examples of these production companies are:

  • New York Fashion Week: The Shows (The premiere NYFW producer)

  • Runway7

  • Art Hearts Fashion

  • Fashion Designers of Latin America

  • The Bureau


When reaching out, email as many companies as possible. Express your passion for fashion, your availability, and the fact that you're willing to do anything and everything needed (and make sure that when you show up you fulfill on that promise!) Most production companies are on the lookout for extra help, whether it's backstage support or managing guests during shows.


Connect with PR Agencies


Connecting with public relations (PR) agencies is also a promising avenue. For instance, during New York Men's Day, organized by Agentry PR, volunteers are essential for tasks like managing guest flow and organizing spaces for models. PR agencies usually have several roles to fill, so do not hesitate to reach out.



Direct Outreach to Designers


Consider reaching out directly to emerging designers, who often have limited resources. Look for those showcasing their work at NYFW. A small designer might appreciate the extra help more than a major brand. You can contact them through their official websites or social media profiles, focusing on those with fewer followers, as they are often more accessible.


For instance, a friend of mine volunteered by offering her help to a new designer several years ago who at the time had a small Instagram following. This designer was grateful for the support and invited her to assist throughout the event, leading to a great working relationship.


Preparing Your Application


When you do reach out, include crucial details that catch attention. A strong email should have:


  • A brief resume that highlights relevant experience

  • Your Instagram profile showcasing your fashion interests

  • Your LinkedIn profile, if applicable

  • A statement explaining your goals in fashion and how you hope to be able to assist


These components can help demonstrate your commitment to the industry and your qualifications.


The Power of Timing


Start your outreach well in advance of NYFW (by December if you're trying to assist in February, and by July if you're trying to assist in September) as positions fill rapidly. Allow yourself ample time for follow-ups. If you do not receive a response right away, don’t lose heart; it's common to reach out multiple times before receiving a reply.


Statistics show that applicants who follow up within a week of their initial outreach have a 20% higher chance of receiving a response. Persistence pays off.


Show Up Prepared


Once you've secured a volunteer position, preparation is crucial. Arrive early on event day and bring essential materials. It's incredibly helpful to have a "day-of" kit with things like a pen, safety pins (large and small), Band-Aids, Advil, and tape. Being prepared will make you stand out to the production team and designer - and those are the folks who get called back for future opportunities.


Dress appropriately – choose practical yet stylish clothing (and always all black!). Remember, you’ll interact with various professionals, and your appearance can make an impression. Aim for something that reflects the event's vibe without sacrificing comfort.

Throughout NYFW, take the time to connect with fellow volunteers, production staff, and designers. Introduce yourself and share your experiences. Networking is vital; building relationships during this event can lead to future opportunities and collaborations.


For example, you might find that a team member you connect with is part of a company looking for interns later on. Your connections could open doors down the line.

After the event, make it a point to follow up with people you connected with. Send thank-you emails expressing gratitude for their time and support, and reiterate your interest in future opportunities.
